Payment of the booking deposit/retainer confirms the Client’s booking with Reel Love and constitutes acceptance of these Terms & Conditions, together with the package details, pricing and services outlined in the booking confirmation.
The booking is considered confirmed once the required deposit has been received. The remaining balance must be paid by the date specified on the Client’s invoice and, unless otherwise agreed in writing, must be received no later than the event date.
The Client agrees to provide Reel Love with the final wedding/event schedule, including timings, locations, key moments and, where relevant, the names of key people such as the couple, immediate family, wedding party and other important guests, prior to the event.
This information allows Reel Love to plan coverage effectively and prioritise the moments that are most important to the Client.
The Client is responsible for notifying Reel Love of any significant changes to the schedule, venue, timings or agreed requirements as soon as reasonably possible.
Where Reel Love is required to attend for more than six (6) consecutive hours, the Client agrees to provide one suitable staff meal and reasonable access to refreshments for each Reel Love creator attending the event.
The meal should be provided during a suitable break in coverage and, where possible, at the same time as the meal service for other wedding suppliers.
The Client acknowledges that Reel Love may need a short break during extended periods of coverage. Reel Love will use professional judgement to ensure this does not unnecessarily impact important moments or agreed coverage.
Reel Love will make reasonable efforts to capture a wide range of guests, interactions and moments throughout the event.
However, the Client acknowledges that the amount and type of guest content captured will depend on guest participation, availability, timings and circumstances on the day.
Reel Love cannot guarantee that every guest will appear in the delivered content or that every requested individual moment will be captured.
Reel Love will use reasonable efforts to capture the content, moments and coverage outlined in the agreed package.
However, coverage is documentary in nature and Reel Love cannot guarantee the capture of every specific moment, person, shot or requested piece of content.
Circumstances outside Reel Love’s reasonable control may affect coverage, including but not limited to weather, changes to the event schedule, delays, venue restrictions, lighting conditions, guest participation, accessibility, technical issues, the actions of other suppliers or unforeseen events.
Reel Love will prioritise the Client’s key agreed moments and use professional judgement throughout the event to maximise the content captured.
Reel Love respects the role of the appointed photographer and other professional suppliers and will make reasonable efforts to work collaboratively with them.
Reel Love will not intentionally obstruct or interfere with the photographer’s contracted coverage or key shots.
Where appropriate, Reel Love may work alongside the photographer and other suppliers to capture complementary behind-the-scenes and social-first content.
The Client acknowledges that Reel Love cannot control the actions, positioning or requirements of other suppliers.
The Client acknowledges that coverage may be affected by the rules, restrictions or requirements of the ceremony and/or reception venue, religious institution, private property or other location.
These restrictions may include, but are not limited to, restrictions on movement, flash photography, lighting, audio recording, filming during certain parts of the ceremony, access to particular areas or the use of equipment.
Reel Love will comply with reasonable venue and ceremony restrictions and cannot be held responsible for content that cannot be captured as a result.
The Client is responsible for ensuring that Reel Love is permitted to provide photography and content-creation services at the relevant venues.
Coverage is limited to the hours included within the Client’s chosen package.
If the Client requests or requires Reel Love to remain beyond the contracted coverage period, additional hours will be charged at the applicable Reel Love overtime rate stated on the Client’s booking confirmation or otherwise agreed in writing.
Additional coverage is subject to Reel Love’s availability and cannot be guaranteed.
Where possible, Reel Love will advise the Client if the contracted coverage time is approaching its end.
Any travel, accommodation, parking, tolls, flights, transfers or other expenses required for Reel Love to provide the agreed services will be charged as specified in the Client’s quotation or invoice.
Where travel or accommodation costs are estimated at the time of booking, Reel Love reserves the right to adjust the final amount if actual costs differ materially, provided this is communicated to the Client.
Unless expressly included within the package price, additional travel or accommodation required as a result of changes to the event schedule or venue will be charged to the Client.
Content will be delivered in accordance with the delivery times and format specified in the Client’s chosen package.
Any stated delivery times are estimates unless expressly confirmed in writing as guaranteed deadlines.
Delivery times may be affected by circumstances outside Reel Love’s reasonable control, including technical issues, file-transfer issues, internet connectivity, equipment failure, illness or unusually high-volume periods.
Reel Love will make reasonable efforts to keep the Client informed of any significant delay.
Where raw or unedited content is included within the Client’s package, this refers to the original usable photographs and/or video clips captured by Reel Love and does not constitute a guarantee that every recording made during the event will be supplied.
Raw content may include duplicate clips, test footage, accidental recordings, unusable footage, technical errors or clips that do not meet Reel Love’s normal quality standards.
Reel Love reserves the right to exclude footage that is corrupted, technically unusable, accidentally recorded or otherwise unsuitable for delivery.
Raw content will be made available to the Client for the period specified in the booking/package information. Reel Love is not responsible for permanently storing or retaining Client content beyond this stated period.
The Client is responsible for downloading and securely backing up all delivered content.
The Client acknowledges that Reel Love’s edited content is created in Reel Love’s established creative style.
While reasonable requests may be considered, Reel Love retains creative discretion over editing, music selection, pacing, transitions, colour treatment and overall presentation.
Specific music tracks may be subject to availability, licensing and social-media platform restrictions and therefore cannot always be guaranteed.
Minor amendments may be considered at Reel Love’s discretion. Significant re-edits or changes outside the agreed package may incur an additional fee.
All photographs, videos, Reels and other content created by Reel Love remain the intellectual property and copyright of Reel Love unless otherwise agreed in writing.
Upon receipt of full payment, the Client is granted a non-exclusive, non-transferable licence to use the delivered content for their own personal, non-commercial purposes.
This includes sharing content on personal social media accounts, with family and friends, and for personal keepsakes.
The Client may not sell, license, commercially exploit, substantially alter for commercial purposes, or provide the content to third parties for commercial use without the prior written consent of Reel Love.
Unless the Client has expressly requested otherwise in writing before the event, the Client grants Reel Love permission to use content captured during the event for Reel Love’s own portfolio, website, social media, marketing, advertising and promotional purposes.
Reel Love will use reasonable discretion when selecting content for public use.
Where requested before the event, Reel Love will discuss reasonable privacy restrictions relating to specific individuals or sensitive moments.
The Client is responsible for obtaining any necessary permissions from the venue, guests, performers, suppliers or other third parties where required for photography, videography or content creation.
Reel Love is not responsible for restrictions imposed by third parties or for obtaining permissions that are the responsibility of the Client or event organiser.
The Client acknowledges that music, performances, artwork, branding or other third-party material captured within content may be subject to separate copyright or usage restrictions.
Reel Love uses professional equipment and will take reasonable precautions to protect, back up and securely handle captured content.
However, in the unlikely event of equipment failure, file corruption, data loss, theft or other technical failure, Reel Love will make reasonable efforts to recover or reproduce the affected content where possible.
Where content cannot reasonably be recovered or reproduced, Reel Love’s liability will be limited to a reasonable refund relating to the affected portion of the service.
The booking deposit/retainer is non-refundable as it secures Reel Love’s availability for the agreed date and prevents that date from being offered to another Client.
If the Client cancels the booking, any remaining balance will not be payable unless otherwise specified in the booking agreement; however, the booking deposit/retainer will be retained by Reel Love.
If the Client wishes to postpone the event, Reel Love will make reasonable efforts to transfer the booking to the new date, subject to availability.
A new date is not confirmed until agreed in writing by Reel Love.
If Reel Love is unavailable for the new date, the postponement will be treated as a cancellation and the original booking deposit/retainer will remain non-refundable.
Any additional costs resulting from a postponement, including increased travel, accommodation or supplier costs, may be charged to the Client.
Reel Love will make every reasonable effort to fulfil the booking.
In the unlikely event that the assigned creator is unable to attend due to serious illness, injury, emergency or circumstances beyond Reel Love’s reasonable control, Reel Love will, where reasonably possible, arrange a suitable replacement creator or alternative solution.
If the services cannot reasonably be provided, Reel Love’s liability will be limited to the amount paid by the Client for the affected services.
Neither party will be considered in breach of these Terms & Conditions where performance is prevented or materially affected by circumstances beyond reasonable control, including but not limited to natural disasters, extreme weather, government restrictions, transport disruption, war, civil unrest, widespread technical failures or other events of force majeure.
The Client agrees to provide accurate information, schedules, contact details and relevant instructions required for Reel Love to perform the services.
The Client is responsible for ensuring that the wedding/event schedule allows reasonable opportunity for the agreed coverage to take place.
Reel Love cannot be held responsible for missed content resulting from delays, schedule changes, restricted access, guests not being available, or the Client or other suppliers preventing or limiting access to agreed coverage areas.
Reel Love does not guarantee any specific number of views, likes, shares, followers, engagement or other social-media results from the content created.
Social-media performance is affected by factors outside Reel Love’s control, including platform algorithms, trends, audience behaviour, music availability and changes to social-media platforms.
Reel Love will take reasonable care in providing the agreed services but cannot be held responsible for circumstances beyond its reasonable control, including venue restrictions, weather, guest behaviour, supplier interference, delays, schedule changes, technical failures, internet or file-transfer issues, or other unforeseen circumstances.
To the maximum extent permitted by applicable law, Reel Love’s total liability shall not exceed the total amount actually paid by the Client for the affected services.
Any changes to the agreed package, coverage hours, locations, number of creators or services must be agreed in writing.
Changes requested after the original booking may result in additional charges and are subject to Reel Love’s availability.
All outstanding balances must be paid by the due date stated on the Client’s invoice.
Reel Love reserves the right to withhold delivery of edited and/or raw content until the account has been paid in full.
Where payment remains outstanding after the event, Reel Love may suspend editing, delivery and/or access to content until payment has been received.
Venue Cancellation or Closure: In the event that the original venue is unable to host the event for any reason, the client may choose to relocate the event to an alternative venue within a 25 km radius of the original venue at no additional location or travel cost, or request to reschedule the booking to an alternative date, subject to Reel Love’s availability.
Alternative Venue Outside the 25 km Radius: If the replacement venue is located more than 25 km from the original venue, additional travel charges will apply for the extra distance travelled. These charges will be communicated to and agreed with the client before the relocation is confirmed.
Accommodation & Extended Travel: If the replacement venue is located more than 1.5 hours’ driving distance from Reel Love’s originally agreed travel starting point, the client will be responsible for any necessary accommodation costs, in addition to applicable travel charges. Any required accommodation arrangements and associated costs will be communicated to the client in advance.
Rescheduling: Any rescheduled date is subject to Reel Love’s availability. If Reel Love is unavailable on the requested alternative date, the original booking terms and cancellation policy will apply. Any additional costs arising from a venue change or rescheduling must be agreed upon before the revised arrangements are confirmed.
Photography in the Absence of a Professional Photographer: Reel Love specialises in behind-the-scenes wedding content creation, primarily using iPhones to capture candid moments, short-form video footage and social media-ready content. Our services are not intended to replace a professional wedding photographer or videographer.
Where a professional photographer has not been booked, and the client requires additional photography services beyond Reel Love’s standard content creation package, including but not limited to posed portraits, directed group photographs, specific location scouting, carefully composed shots or dedicated lighting arrangements, additional charges may apply. These requirements must be discussed and agreed upon in advance, and may require additional coverage time or staffing.
High-Resolution Still Photography: Reel Love’s standard still images are captured using iPhones video footage to screen shot the best images and are intended for digital use and social media. Where the client requires dedicated high-resolution still photography, or wishes still photography to be prioritised over video content, a second content creator may be required. This allows one creator to focus on photography while the other continues capturing video footage and candid moments throughout the event.
Any additional creator, specialist equipment, extended coverage or other services required to meet these expectations will incur additional charges, which will be agreed upon with the client before the event.
Client Expectations: By booking Reel Love, the client acknowledges that the primary focus of the service is content creation rather than traditional professional photography. Specific photographs, poses, lighting conditions, locations or photographic results cannot be guaranteed unless expressly agreed in writing beforehand.
Any requests for edits, amendments or adjustments to the delivered content must be communicated to Reel Love within 5 calendar days of the content being uploaded to Dropbox.
Reel Love will endeavour to complete any agreed edits as soon as reasonably possible, subject to existing bookings, workload and other professional commitments. Re-edits are not guaranteed to be completed within a specific timeframe.
All edit requests must relate to the original agreed brief and package. Requests for substantial changes, alternative editing styles, new content or edits outside the original brief may incur additional charges, which will be agreed upon before work commences.
